Privacy Policy

The short version: we collect the details you choose to send us through the contact form, and the messages you type into the live demo. We use no cookies, no analytics and no advertising trackers. We never sell your data. Your demo messages are processed by OpenAI to generate replies. You can have everything we hold deleted by emailing hello@realestatechatbot.io.

Who we are

RealEstateChatbot.io is an independent service provider that designs, builds and manages AI chat assistants for real estate agents, teams and brokerages. We are the controller of the personal data described on this page.

For anything relating to privacy, contact us at hello@realestatechatbot.io. We answer privacy requests ourselves — there is no ticket queue to get lost in.

What we collect, and when

1. When you submit the contact form

The form on our contact page asks for, and stores, the following:

Your name and email address — so we can reply to you.
Your website address, if you give one — so we can look at your listings before we talk.
Your team size and preferred call time — so we quote the right tier and call when it suits you.
Any note you write — the message itself.
Your IP address and browser user-agent — recorded automatically with the submission, used to block spam and abuse.

These are written to a file on our own server that is blocked from public access, and emailed to our own inbox so we actually see the enquiry. Nothing else happens to them.

2. When you use the live demo

The demo assistant is a working chatbot answering questions about a set of sample listings. When you send it a message:

Your message text is sent to OpenAI, which generates the reply that comes back to your screen. This is the core of how the demo works.
Your IP address is hashed (converted to an irreversible fingerprint) and stored temporarily to enforce a limit of five messages per visitor per day. We store the hash, not the address itself.

We do not save demo conversations to a database, and we do not link them to you. Because the text is processed by a third-party AI provider, please do not type confidential information, client details or anything sensitive into the demo.

3. When you message us on WhatsApp or by email

If you use the WhatsApp button or email us directly, we receive whatever you send, along with the phone number or email address you send it from. WhatsApp is operated by Meta and their own privacy terms apply to the message in transit.

4. If you submit a form inside a social media ad

Where we advertise on platforms such as TikTok, those platforms may offer a form inside the ad itself. If you complete one, the platform passes us the details you submitted — typically your name, email, and answers to any questions we asked. The platform is a separate controller for the data it holds about you, and its own privacy policy governs your relationship with it.

5. Automatically, through hosting

Our hosting provider keeps standard server logs — IP address, time of request, page requested, user-agent — as every web server does. These are used for security and diagnosing faults, and they age out on the provider's normal schedule.

What we deliberately do not do

This section exists because most privacy policies bury it.

No analytics cookies. There is no Google Analytics on this site.
No advertising or tracking pixels. No Meta pixel, no TikTok pixel, no remarketing tags on the pages you are reading.
No selling of personal data — not to data brokers, lead aggregators or anyone else.
No newsletter you did not ask for. Submitting the contact form gets you a reply about your enquiry, not a mailing list.
No profiling or automated decision-making that produces a legal or similarly significant effect on you.

If we ever add advertising measurement, we will update this page and put a cookie notice in place before any such tracking is switched on.

Who else processes your data

We keep this list short on purpose, and it is complete as of the date above.

Some of these providers are based in, or process data in, the United States. Where data is transferred internationally, it is done under the transfer safeguards those providers maintain.

Why we are allowed to hold it

To answer you. When you send an enquiry, handling it is our legitimate interest — and it is the entire reason you contacted us.
To run the demo. Processing your message is necessary to deliver the service you just asked for by pressing send.
To keep the site working. Rate limits and spam filtering protect the service from abuse.
To meet our obligations. Where the law requires us to keep certain records, we keep them.

Your rights

Wherever you are, you can ask us to show you what we hold, correct it, or delete it — and we will do it without making you justify the request.

If you are in the UK or the EEA, the UK GDPR and GDPR give you the right to access, rectification, erasure, restriction of processing, data portability, and to object to processing carried out on legitimate-interest grounds. You also have the right to complain to your data protection authority — in the UK, the Information Commissioner's Office.

If you are a California resident, the CCPA and CPRA give you the right to know what personal information is collected and for what purpose, to request deletion, to correct inaccurate information, and not to be discriminated against for exercising those rights. We do not sell or share personal information as those terms are defined in the CCPA, so there is nothing for you to opt out of.

Security

The site is served over HTTPS. Enquiry records and configuration files are stored outside public reach and blocked at the web-server level. Outbound notification email is sent over an authenticated, encrypted connection. Access to the server is restricted to us.

We will not claim more than that. No small operation can promise perfect security, and any policy that does is overselling. What we can promise is that we collect as little as the job needs, and that if something goes wrong that affects you, we will tell you.

Children

This is a business service sold to real estate professionals. It is not directed at children, and we do not knowingly collect data from anyone under 16. If you believe a child has sent us information, email us and we will delete it.

Changes to this policy

If we change how we handle data, we will update this page and change the date at the top. Material changes — adding tracking, or a new category of data — will be described here rather than slipped in quietly.

Common questions

Do you sell or share my personal data?

No. We do not sell your personal data, we do not share it with data brokers, and we do not use it for advertising profiling. The only parties who ever see it are the service providers listed on this page who help us run the site — hosting, email delivery and the AI provider that powers the demo — and they process it on our instructions.

Does this website use cookies or tracking pixels?

No. This site sets no analytics cookies, no advertising cookies and no tracking pixels. There is no Google Analytics, no Meta pixel and no TikTok pixel on the pages you are reading. That may change if we add advertising measurement later, and if it does we will update this page and add a cookie notice before it goes live.

What happens to what I type into the live demo?

Your messages are sent to OpenAI so the assistant can generate a reply, and they are returned to your browser. We do not store demo conversations in a database and we do not attach them to your identity. Because the text leaves our server to be processed, please do not type anything confidential or anything you would not want a third-party AI provider to receive.

How long do you keep the details I submit?

Enquiries are kept for as long as we are in contact and for up to 24 months afterwards, so we can pick up a conversation where it left off. If you ask us to delete your details we will do it and confirm — there is no obligation to stay on file, and nothing is kept for marketing that you did not ask for.

How do I get my data deleted?

Email hello@realestatechatbot.io and ask. We will remove your record from our lead file and our mailbox and confirm when it is done. You do not need to give a reason, and we will not ask you to justify it.
