CRM & IDX integration · listings in, leads out
A real estate chatbot integration connects the assistant to your IDX feed, MLS export or website so it answers with real properties — not “an agent will contact you” — and pushes each qualified lead, with the full transcript, into your CRM and calendar automatically.
The two connections
A chatbot is only as good as what it’s plugged into. There are two wires that matter: what it reads to answer buyers, and where it puts the ones worth your time. We connect both.
We connect the assistant to your live listings — an IDX feed, an MLS export, kvCORE, or a crawl of your own site. When a buyer asks what’s available under $500k with three bedrooms, it replies with actual properties, prices and status.
When a conversation qualifies a buyer — budget, area, timeline, financing, whether they already have an agent — the assistant writes the contact into your CRM with the whole transcript attached, and drops the booked viewing onto your calendar.
The integration matrix
Named systems, honest limits. This is the table other providers won’t show you before you’ve paid. If your stack is here, you know where you stand before the call.
| System | Type | What syncs | Notes & limits |
|---|---|---|---|
| IDX feed via your IDX provider |
Listings source | Full live inventory price, beds, status, photos, location |
The cleanest option. Updates on its own — the assistant is always current. Some IDX providers rate-limit or restrict fields; we map around it. |
| MLS export / RETS / RESO RESO Web API preferred |
Listings source | Full listing data direct from the MLS feed |
Excellent when your board grants feed access. RETS is legacy and slower; RESO Web API is cleaner. Access is governed by your MLS, not us. |
| kvCORE listings + CRM |
Listings source / CRM | Listings in & leads out contacts, notes, transcript |
Works both directions — reads your listings and receives qualified leads. Smart-CRM automations on their side still run as you’ve set them. |
| Follow Up Boss via API |
CRM | Leads out contact, source, tags, full transcript |
Clean API, fast to wire. Leads land ready for your action plans and round-robin. It does not hold listings — pair it with a feed for the listings-in half. |
| HubSpot via API |
CRM | Leads out contact, deal, transcript as a note |
Maps to contacts and deals with custom properties. Great for teams already running HubSpot workflows. Not a listings source. |
| Placester website + IDX |
Listings source | Listings via its IDX read from the site’s feed |
We read the listings your Placester site displays. Lead capture routes to your chosen CRM, not held in Placester alone. Feed depth depends on your plan. |
| WordPress / IDX plugins IMPress, Showcase IDX, etc. |
Listings source | Listings from the plugin or a site crawl if needed |
If the plugin exposes a feed we read that; otherwise we crawl the rendered listing pages. Reliable when markup is clean, weaker when it isn’t. |
| Website (no feed) crawl of your listing pages |
Listings source | Crawled listings whatever your pages expose |
The fallback when there’s no IDX or MLS access. Slower to set up, updates less often, and only as good as your page markup. A real feed always beats it. |
| Google Calendar viewing bookings |
Calendar | Booked viewings out event, buyer details, transcript link |
The assistant checks availability and books directly. Reschedules and cancellations follow your normal calendar. One calendar per agent, or a shared team one. |
| Calendly viewing bookings |
Calendar | Booked viewings out via your event types |
Good if your team already lives in Calendly. The bot books into your event types; round-robin and buffers are whatever you’ve configured there. |
| Legacy / in-house CRM no public API |
CRM | Not out of the box needs an API or webhook first |
If it has no API, we can’t push into it cleanly. Options: add a webhook, deliver leads by email/CSV, or scope custom work. We’ll be straight about the cost. |
Integration depth depends on the access each system grants and the plan you’re on with it. We confirm exactly what’s possible for your accounts during the discovery call — before any build fee is agreed. We’re an independent service provider and not affiliated with any listed vendor or MLS.
Before you assume it all connects
Most stacks connect cleanly. A few don’t, and we’d rather say so now than surprise you mid-build. If one of these is you, raise it on the call.
Integration questions
If your stack isn’t named above, ask on the call — we’ll tell you honestly whether it connects cleanly, needs custom work, or should be swapped first.
Almost certainly. Follow Up Boss, kvCORE and HubSpot are wired in fast because they have proper APIs and we’ve done them before. Most modern CRMs with an API or a webhook are straightforward. A legacy or in-house CRM without an API needs custom work — we’ll tell you honestly on the call which yours is.
IDX (Internet Data Exchange) is the feed that lets your website display live MLS listings. If your site already shows searchable listings, you have IDX. It’s the cleanest, most reliable way for the chatbot to answer with real properties. You don’t strictly need it — we can read an MLS export or crawl your site instead — but a proper IDX feed is faster and stays accurate on its own.
Your real ones. We connect the assistant to your live inventory — IDX feed, MLS export, or your website — so when a buyer asks “what’s under $500k in the school district,” it answers with actual homes, prices and status. When a listing sells or a price drops, its answers change too. It never says “an agent will contact you” to a question it can answer.
We crawl your website’s listing pages instead. That works, and it’s better than a bot that knows nothing — but be honest with yourself: a crawl is slower to set up, updates less often, and is only as reliable as your site’s markup. A clean IDX or MLS feed always beats a crawl. If you have one, use it.
Yes. The moment a conversation qualifies a buyer — budget, area, timeline, financing, whether they already have an agent — the assistant creates the contact in your CRM with the full transcript attached and, if they booked, the viewing on your calendar. You don’t copy and paste anything. The lead is in your pipeline before you’ve read the notification.
On the CRM side: Follow Up Boss, kvCORE and HubSpot directly, plus most CRMs with an API or webhook. On listings: IDX feeds, MLS export/RETS/RESO feeds, kvCORE, and WordPress IDX plugins. On calendars: Google Calendar and Calendly. The integration matrix below lists exactly what each one can and can’t sync.
Book a 15-minute call. We’ll look at your feed and CRM and tell you exactly what connects — then show the assistant running on your real inventory.
